User Permissions - Work Drive Extension

A standard user can upload, delete, rename, and move files. He can also create new folders. However, he can’t browse the uploaded files in Work Drive or he can’t create default folders and set the hierarchy. 

After logging in as a standard user, he can upload a file for a particular Deal or Lead. He can do all the things (Browse, Share, Move, Rename, Delete) from the Action dropdown menu. 

Whenever he tries to browse the file on Work Drive, he will get the following message like below -

He can browse the file only when he becomes either an Admin or Super Admin. The Super Admin has the power to turn a standard user into an Admin. 

While logging into Work Drive as a Super Admin, click on Profile >> Team Details 

Then, click on the (+MEMBERS) button. 

Now insert the email address of the standard user and click the INVITE MEMBERS button.


There will be a message like below for a successful invitation. 

The user will get an invitation email as soon as the Super Admin invites him. After opening the invitation email, the standard user needs to click the Join button. 

 

Great! Now the Standard user can browse files on Work Drive. 

After clicking the Browse button for a particular file, the user will now see the following page, where the user needs to click the Request access button to see the file in Work Drive -

 

As soon as the user clicks the button, the Super Admin will be notified like the following image 

And an email will also be sent to the Super Admin, where he needs to click the Share file button. 

This will bring the Super Admin to the following page where he will click the Share button and set the Access Level to either View or Edit

Now, the Standard user will have no problem viewing the file on the Work Drive directory.

Note - for Zoho CRM to Work Drive extension, the Admin can only give access to View and Edit for sharing files, while there are a total of 4 options - Organize, Edit, View and comment, and View.

 

If the user is initially invited as a team member while creating the team, then he doesn’t have to go through this process for browsing a file on Work Drive. He will already have the access to browse files on Work Drive.
