MODULE-WISE MANUAL SYNC

We can sync records from Blackboard to CRM for specific modules. It will instantly sync records for the selected module. 

Here are the options for MODULE-WISE MANUAL SYNC -

  1. Sync Blackboard Users to CRM
  2. Sync Blackboard Courses to CRM
  3. Sync Blackboard Enrollments to CRM
  4. Sync Blackboard Grades to CRM

We will demonstrate each option one by one so that you will get a clear idea of how this type of sync works. Also, you can update records instantly for a specific module when you don’t want to update records for all modules. This will keep the records in your CRM up-to-date. 

Sync Blackboard Users to CRM

First, you need to create a User in the Blackboard LMS and sync it to Zoho CRM.

Therefore, go to (https://blackboard.saasplugin.com.au/) and log in using your valid credentials. After successful login, you should see the dashboard.

To create a user, click on System Admin and select Users.

There, you need to click the “Create User” button.  

You must provide the mandatory information to create a new User in Blackboard. Also, you must provide a username, set a password, and verify it. (Also, provide an email address for further use)

You can also set the role of the user (under INSTITUTION ROLES) such as - Student, Staff, Faculty, etc. If you set the role as a Student, then the user will have the same role in CRM. Otherwise, the user will have a role as Staff if you set any other role in Blackboard except Student. 

You can also set multiple roles for a particular user, giving a Primary Institution Role and setting Secondary Institution Roles. In this case, the Primary Institution Role will be considered in CRM. 

That was pretty much all the information you need to create a User in the Blackboard LMS. Finally, hit the “Submit” button (at the bottom of the page) to create the User. 

You can find the User in your Blackboard LMS. Apply filters to find it easily. 

Now, we will sync the newly created User to CRM. We will navigate to “Blackboard LMS Sync” inside our CRM and press the “Sync Blackboard Users to CRM” button for an instant sync.  

After a successful sync, you will get a successful message. To check the status of the User inside your CRM, go to “Contacts” and you will see the new User. 

Sync Blackboard Courses to CRM

You need to create a Course in the Blackboard LMS first. Therefore, go to (https://blackboard.saasplugin.com.au/) and log in using your valid credentials. After successful login, you should see the dashboard.

Just like a User, click on System Admin and select Courses

Under Courses, you have to select - Create Course >> New 

You must provide the mandatory information to create a new Course in Blackboard. (You can configure other settings according to your requirements) 

Then, hit the “Submit” button (at the bottom of the page) to create the Course.

You can find the Course in your Blackboard LMS. Apply filters to find it easily.

Now, we will sync the newly created Course to CRM. We will navigate to “Blackboard LMS Sync” inside our CRM and press the “Sync Blackboard Courses to CRM” button for an instant sync.

After a successful sync, you will get a successful message. To check the status of the Course inside your CRM, go to “Products” and you will see the new Course.

Sync Blackboard Enrollments to CRM

Just like syncing a Course, we have to assign users to a particular course to sync Enrollments.  

First, create a Course just like we have shown in the Sync Blackboard Courses to CRM section. Then, assign users to the Course.

For that, you need to go to System Admin >> Courses. Then, select the desired Course and click on Users, under the Users and Groups section.

Now, you need to find a User and enroll him/her in the Course. Select Find Users to Enroll under Enroll User.   

You can either type the username or browse the User. Don’t forget to set the role of the User and keep the Enrollment Availability - Yes.   

Now, you can assign another User to the Course. This time, you should create the User manually rather than browsing one from existing users. And you are going to set the role for this User as an Instructor.  

So, go to Create User under Enroll User.

You must provide the mandatory information to create a new User in Blackboard. Also, you must provide a username, set a password, and verify it. (Also, provide an email address for further use)

You can also set the role of the user (under INSTITUTION ROLES) such as - Student, Staff, Faculty, etc.   

Finally, hit the “Submit” button (at the bottom of the page) to create the User. 

Now the user is created and enrolled in the Course. We will set the role of the User as an Instructor and keep the Enrollment Availability - Yes. Then, hit the “Submit” button once everything is done.   

Now, we will sync the Enrollment to CRM. We will navigate to “Blackboard LMS Sync” inside our CRM and press the “Sync Blackboard Enrollments to CRM” button for an instant sync.

After a successful sync, you will get a successful message. To check the status of the Enrollment inside your CRM, go to “Student Enrollments” and you will see the new Enrollment.

Sync Blackboard Grades to CRM   

Before syncing Grades, you need to create a Course and Enroll users in the Course, just like we have shown in the Sync Blackboard Courses to CRM and Sync Blackboard Enrollments to CRM sections.

If you have already done that, go to System Admin >> Courses. Then, select the desired Course and click on Full Grade Center, under the Grade Center section.

You notice a table named “Grade Information Bar” with various columns. You have to create a new column to provide grades for the course. Therefore, click on the Create Column option. 

You must provide a Column Name, set the Primary Display (Score, Letter, Text, Percentage, Complete/Incomplete), and Points Possible to give a grade to the Course.  

Finally, hit the “Submit” button (at the bottom of the page) to create the column for Grades. 

You will see the new column at the right of the table -

Now, you need to set marks for the Student for the exam. Once you do that, the “Total” column will automatically set a Letter that the student has obtained for the Course.  

To sync the Grade for the Course, navigate to “Blackboard LMS Sync” inside your CRM and press the “Sync Blackboard Grades to CRM” button for an instant sync.

After a successful sync, you will get a successful message. To check the status of the Grade inside your CRM, go to “Blackboard Grades” and you will see the new Grade.
